Procore and QuickBooks: closing the gaps the sync leaves

Keep Procore and QuickBooks. The connectors sync the basics, but invoice intake, PO matching, lien waivers and cross-system reporting often still run through email and Excel. A thin custom layer reads the documents, checks them against both systems and posts the approved entry, so nobody retypes.

Most contractors run more than one system

In ServiceTitan's 2026 Commercial Specialty Contractor Industry Report, only 20% of surveyed contractors had reached a single platform. 34% use two to three systems; 25% use four to six. The report says core systems "rarely talk to each other."

Procore plus QuickBooks is a common pair. The question isn't which to drop. It's what moves between them by hand.

Where the gaps show up

  • Sub and vendor invoices. PDFs arrive by email and get keyed in by hand.
  • Matching. Checking an invoice against the commitment, retainage and change orders is manual.
  • Compliance. Missing lien waivers or insurance certificates are caught late, or not at all.
  • Reporting. WIP and job cost reports get rebuilt in Excel from both systems.
  • Timing. Job costs in the field and the books don't agree on any given day.

How to close them without replacing anything

  1. Intake. Read every invoice from the shared AP inbox.
  2. Match. Pull the commitment from Procore and check lines, retainage and waivers.
  3. Approve. The AP clerk, then the project manager. Mismatches are flagged, not hidden.
  4. Post. Write the approved bill to QuickBooks and attach the source.
  5. Report. One job cost view from both systems, refreshed daily.

Does Procore integrate with QuickBooks?

Yes. Procore's ERP integrations page lists QuickBooks Desktop and Online among its connectors, alongside Sage, NetSuite, Acumatica and others (Procore support, September 2026).

Should we move to a single platform instead?

Only if the migration pays for itself. Most contractors keep several systems. A custom layer connects the ones you have without retraining every team.

What does a custom layer need access to?

Procore's API, your QuickBooks company file or online account, and the inbox where invoices arrive. Nothing posts without an approval on record.
