Loan processing automation: clearing mortgage conditions faster
Loan processing slows down on conditions: chasing borrower documents, checking each one against the condition and updating the loan origination system (LOS) by hand. Automation sorts incoming documents, matches them to open conditions, drafts borrower requests and flags what needs a person. Underwriters still clear every condition. It works on top of your LOS, not instead of it.
01
Where the processor's day goes
- Underwriting sends back a list of conditions, worked in the order received.
- Borrowers get vague requests and send the wrong document, or half of it.
- Each upload is opened, read and checked against the condition by hand.
- The LOS, the borrower and the agent are each updated separately.
- Status questions from agents get answered from scratch, every time.
02
What to automate
- Intake. Uploads, emails and portal files land in one queue per loan.
- Classify. Each document is labelled: pay stub, bank statement, letter of explanation.
- Match. Documents are checked against the open condition: right name, right dates, all pages.
- Triage. Conditions split into routine and the few that need judgment.
- Request. Borrower requests drafted in plain words, naming the exact document.
- Remind. Follow-ups drafted when a document is still missing.
- Update. Status written back to the LOS; agent replies drafted from the file.
03
What stays human
| Step | Who decides |
|---|---|
| Clearing a condition | Underwriter. Always. |
| Unclear or mismatched document | Processor, with the condition side by side. |
| Borrower request or reminder | Processor confirms before it goes out. |
| Agent status reply | Processor confirms before it goes out. |
The goal is less reading and retyping, not fewer checks.
04
On top of the LOS, not instead of it
- The LOS stays the system of record. Nothing is migrated.
- Conditions are read from it; status goes back with a record of who approved.
- No API? Imports or browser automation can do the writing.
- deltaV builds and hosts the tool for a monthly retainer. Loan and borrower data stay the lender's.
- Where it runs and who can see what is set by your compliance team during scoping.
Matching documents to rules is the same pattern as invoice processing. Answering from the file is close to AI search over company documents. Our applied AI service covers both.
05
How to start
- Pull the conditions from recent closed loans and count the repeats.
- Write down how a processor decides a document satisfies each common one.
- Start with intake and matching; add borrower drafts once matching holds.

Questions
Direct answers
Does it clear conditions on its own?
No. It matches documents and suggests a status. The underwriter clears every condition. Anything borrower-facing is drafted for a processor to confirm.
Do we have to replace our LOS?
No. The LOS stays the record. The tool reads conditions from it and writes status back through whatever access it offers: an API, imports or the screen.
What does it cost and how long does it take?
It depends on complexity and the business case. Book a call and we'll scope it with you.
