For bare rentals, where equipment goes out and comes back, off-the-shelf equipment rental software for small business works: bookings, contracts, invoices and a QuickBooks connection. Crane rental is different. You rent an operated machine, so the job needs operators, lift plans, signed tickets and hourly billing. Use crane rental software, or add a custom layer for those parts.

  2. Check. Flag missing signatures, P.O. numbers and hours that don't add up.

  4. Apply. Each customer's minimums, travel and standby rules.
  5. Approve. Billing signs off on the Friday review.
  6. Send. Approved invoices to QuickBooks through its supported imports or connection. Hours to payroll.
